Team roles and access scopes explained
Admin, Editor, and Viewer roles stay simple. Access scopes decide whether they work across all resources, selected projects, or selected cards.
Each teammate has one role and one access scope. This keeps the setup simple while still giving owners control over sensitive actions.
Use this guide when you are deciding whether someone should be an Admin, Editor, or Viewer. You can update roles from My teams. For setup steps, see How to invite and manage team members. If you need to find the Teams area first, see How to access Teams.
Role overview
| Role | Best for | What they can do |
|---|---|---|
| Admin | Trusted operators | Manage assigned resources. Admins can edit, reset, and delete cards they can access. |
| Editor | Teammates who build and maintain cards | Create and edit assigned resources. Editors can duplicate cards when access covers all resources or selected projects. Editors cannot reset or delete cards. |
| Viewer | Reviewers, managers, and analytics viewers | View assigned resources and analytics. Viewers cannot create, edit, duplicate, reset, or delete cards. |
Access scopes
| Scope | Use it when | Important detail |
|---|---|---|
| All resources | The teammate should work across the owner workspace. | The role still limits what actions are available. |
| Selected projects | The teammate manages a group of related cards. | This is the best scope for editors who need to duplicate cards from Cards. |
| Selected cards | The teammate needs access to only specific cards. | This is best for review or limited analytics access. |
Why editors can duplicate project cards
Editors often need to create variants for coworkers, locations, campaigns, or departments. When an editor has access to all resources or selected projects, duplicate stays available because the new card can stay inside an assigned workspace area.

Why selected card editors cannot duplicate
Duplicating creates a new card. If a teammate only has selected card access, Zapped cannot assume the new card should also be visible to them. Use Projects and selected project access when an editor needs to make copies or variants.
Recommended setups
- Use Editor plus Selected projects for a company team that maintains many employee cards.
- Use Viewer plus Selected cards for a manager who only needs to review a few profiles.
- Use Admin plus Selected projects for a trusted person who owns cleanup and card operations inside one department.
Owner only areas
Billing, account settings, API keys, and owner team management stay owner only. Team roles affect assigned workspace resources, not the owner account itself. Owners can review cards from Cards, projects from Projects, and team settings from Teams.
