NFC cards and QR codes on a team

What the workspace owner, Admins, Editors and Viewers can do with NFC cards and QR codes.

When you work in a team workspace, your role and your access decide which NFC cards and QR codes you see and what you can change. The workspace owner always has full control.

Use this guide when

You share a workspace with others, or something you expect to change is missing or greyed out.

Before you start

  • Check the workspace switcher at the top of the app. Roles apply to the workspace you are in.

Steps

  1. Find your role and your access in the workspace switcher, or ask the workspace owner.
  2. Use the list below to see what that role can do with NFC cards and QR codes.
  3. If you need more, ask the workspace owner to change your role or your access in Teams.

Access means the cards a member can work with: all cards, the cards in certain projects, or certain cards. NFC cards and QR codes follow the card they open.

Who can do what

NFC cards and QR codes belong to the workspace owner and count toward the owner's plan, whoever adds them.

  • Workspace owner, and Admins with access to all resources: Everything: add and set up NFC cards, change where they open, website cards and their backup cards, Save contact right away, Email a setup link, delete NFC cards, and every QR code action, including codes that open a website or need a destination.
  • Other Admins, and Editors: For NFC cards that open a card in their access: add and set up NFC cards, rename them, turn them off and on, mark them as lost, bring them back with I found it, and set up a replacement. For QR codes: get and download Main QR codes, add Flexible QR codes that open a card in their access, rename codes, and turn them off and on.
  • Viewers: See NFC cards and QR codes for the cards in their access, and download QR codes. They cannot change anything.

What only the owner can see

NFC cards and Flexible QR codes that open a website, and codes that need a destination, are shown only to the workspace owner and Admins with access to all resources.

Cards outside your access

Members do not see NFC cards or QR codes that open cards outside their access. If you expect a card and cannot find it, its card may be in a project you do not have.

Good ways to use this

  • Give team members Editor access to the cards they hand out, so they can set up their own NFC cards.
  • Keep website cards and deletions with the owner or an Admin with access to all resources.

Common questions

Whose plan does a team member's NFC card count toward?

The workspace owner's plan.

Can an Editor change where an NFC card opens?

No. Only the workspace owner, or an Admin with access to all resources, can change it.

Can a Viewer download QR codes?

Yes, for the cards in their access.

If something looks wrong

  • If Where it opens is missing on an NFC card, your role cannot change it.
  • If Email a setup link is missing on the setup page, use the QR code or Copy link instead.
  • If an NFC card or QR code is missing from a list, check the workspace switcher and your access.
